Haviland House (“Haviland”, “we”) respects and protects the personal data of every candidate. This policy explains what we collect, why, how long we keep it and what rights you have, in line with Vietnam’s Decree 13/2023/ND-CP on personal data protection.
It applies to the Haviland Career recruitment website, including browsing jobs, applying, creating a candidate account and checking your application result.
1. Data we collect
- Identity: full name, date of birth, gender, citizen ID number, issue date and place of issue.
- Contact: phone number and email address.
- Career profile: the CV you upload, your cover letter and the position you apply for.
- Candidate account (if you register): login email and password — passwords are one-way hashed and cannot be read by us.
- Technical data: a login session cookie and the information needed to block automated form submissions.
We do not ask for sensitive personal data such as health, religion or political views. Please leave such details out of your CV and cover letter.
2. Why we process it
- To assess how well you fit the position you applied for.
- To invite you to interviews, tell you the outcome and send job offers.
- To let you check the status of your application yourself.
- To keep your profile on file and suggest other suitable roles during the retention period.
- To create your employee record if you are hired.
We never use your data for advertising and never sell it to anyone.
3. Legal basis
We only process your data after you tick the consent box on the application form; the time of consent is recorded with your application. Without consent the application cannot be submitted.
4. Who can see your data
- Recruitment staff and the managers directly involved in hiring for that position — each person only sees applications within their assigned scope.
- Infrastructure providers (hosting, file storage, email delivery, spam protection) who process data on Haviland’s behalf and only on our instructions.
- Competent authorities where required by law.
5. How long we keep it
Applications are kept for up to 24 months from the date of submission, then deleted or anonymised.
If you are hired, the data required for employment moves to your employee record and is kept as labour regulations require.
6. Your rights
Under Decree 13/2023/ND-CP you have the right to:
- Be informed about how your data is processed.
- Access your data and ask for it to be corrected.
- Withdraw your consent — this does not affect processing that took place before.
- Ask for your data to be deleted, for processing to be restricted, or object to processing.
- Lodge a complaint or claim compensation as provided by law.
Send your request to tuyendung@havilandhouse.com with the subject “Personal data request”, including your full name and the email you applied with. Deletion requests are handled within 72 hours once we have verified who you are.
7. Security
- All connections to the website are encrypted with HTTPS.
- Access to applications is limited by role and organisational scope.
- Actions on applications in the admin system are logged.
- Your result lookup link is a random code unique to your application — please do not share it.
8. Cookies
We only use cookies that are strictly necessary to keep you signed in and remember your language. If you block cookies you can still browse jobs, but you will not be able to sign in to a candidate account.
9. Changes to this policy
When this policy changes, the “last updated” date at the top of the page changes too. Any change that widens the purposes of processing will only apply once you have given new consent.
